Key Camp Staffing Takeaways

  • Craft a unique hiring process. No two camps ask the same questions, prioritize the same candidates, and evaluate based on the same measures.

  • Host your own camp job applications. No need to hire an expensive agency to design and collect applications for you.

  • Create a standard interviewing process. Decide what questions to ask and how to grade applicants.

  • Save hiring teams time and effort. Display custom text based on each stage of the application status and automatically email to collect references.

  • Find your hiring gaps easily. With our camp rosters, it’s easy to spot what positions you still need to hire for!

Create Seasonal
Staff Rosters

Build staff rosters for the seasonal roles you need to fill to cover each camp staffing season. Create positions (job titles) and groups to organize the structure of teams by roles or camp events. This structure helps hiring teams stay organized with quick statistics and clear indicators for which camp positions remain unfilled.

Design job applications for your camp using our form builder! The applications are attached to the hiring season, where you can choose the featured fields in the applicant’s profile, the interview procedure, internal applicant review procedure, and more for each application type—allowing you to process applicants faster!

Automatically Collect References

Your camp staff can save time doing reference checks for applicants by building a reference questionnaire that can be automatically sent by email to any references supplied by job applicants. The reference form is filled out online and the details are visible inside of the applicant’s profile for quick review!

Review Potential Camp Staff Profiles & Conduct Custom Interviews

Once setup is complete, share the Staff Portal link via email, social media, or job sites to start collecting applications. Track progress as applicants create profiles, submit applications, and complete interviews. Search the applicant inbox to find profiles or help field applicant questions quickly.

Schedule interviews and design custom interview forms to standardize applicant questions and ensure fair assessments. Interviewers take notes and grade applicants using a flexible grading system, while other team members can review profiles and interview feedback.

These features help your team stay fair, speed up decision-making, and make offers quickly before top candidates are hired elsewhere.

Making Job Offers and Initiating Camp Staff Onboarding

Once applicants complete the application, interview, and review steps, they enter the 'Ready to Hire' stage. That’s where the real decision-making happens. If you choose not to move forward with an applicant, their application can be rejected or cancelled, along with a notification to the applicant. When you've found candidates who are the right fit, you can send an initial offer to them using the Staff Portal, allow them to accept or reject that offer, and launch the first stages of staff onboarding.

Designing Job Offers

Camp staffing teams can use the offer system to explore basic employment terms. Offers can be customized, saved as drafts, and sent to candidates with details about work schedules and available compensation. Standard scheduling elements appear in camp rosters, helping ensure proper staffing throughout the season.

Enabling Offer Acceptance

Camp teams can let applicants simply review or potentially accept and reject offers via the Staff Portal. Applicants are notified with a customizable email and can review offer details, ask questions, and make their decision. Once accepted or rejected, the status updates instantly in camp rosters and iCampPro's system.

Reviewing Camp Staff Rosters

For camp admins, the biggest benefits of our staffing features are streamlined processes and comprehensive staff rosters. Admins get quick status updates, numbers, and visual insights. While hiring teams work from the inbox, team leads and admins use rosters to track open positions, gaps, and overall hiring progress.

Triggering Outside Workflows

Once applicants complete the application, interview, and review processes and the hiring team has made an offer—candidate details can be shared to external systems for contracts, background checks, and onboarding via Web Hooks. These triggers provide real-time status updates as offers are created, updated, accepted, or rejected.

Answering FAQs About our Camp Staffing Tools

A green square with a hat and a magnifying glass.
  • Does your software manage new hire background checks?

At this time, our primary focus is on optimizing the workflows that help camp teams narrow down job applicants and prep them for the final hiring stages and official paperwork. However, our camp staff recruitment tools do include webhooks, which allow the delivery of key information to external software APIs based on offer status triggers. After receiving this information, the third-party service can perform an action, like creating staff profiles or launching a task or service.

  • How effective is your staffing module for larger operations?

Our staffing tools have been tested and approved by large camp operations. For summer 2024, one of our camps was able to collect over 6,750 applications and 10,000 references, interview 3,248 of those candidates, and ultimately hire around 2,500 seasonal camp staff – all while hitting their 95% staffing goal by the end of April –something their team has never been able to do before.

  • Can my camp track colleges or schools that it targets for job fairs and recruitment?

Absolutely! Our camp staffing tools enable camps to create a list of colleges or schools they regularly hire candidates from. This way, when applicants provide their college or school information using standardized fields, the application can match it to the camp’s existing list to avoid typos or oddly abbreviated school names that may cause confusion when reviewing candidates.

  • How does the software handle returning staff from past seasons?

The history of applicants is maintained in iCampPro. From season to season, past camp staff can return to the Staff Portal to fill out new applications with your camp. When you begin hiring each season, if you know which camp staff from last season is interested in returning, you can add them to the new season’s inbox. From there, they can fill out any new applications and enter the same workflow alongside new candidates with ease.

  • Can I import existing applications or forms used in my current hiring process?

It’s intuitive and easy to create custom camp staff applications, automated reference forms, and camp interview templates in iCampPro. While our form builder does not offer a file import option, we’re confident you will find ways to support just about every type of question or field you need to help your team process and evaluate applicants for roles at your camp.

We do, however, recommend that your team is mindful of collecting data of a private and sensitive nature using standard form fields—as this data will be visible within forms and views throughout the staffing portions of the software.
