Forms are essential to daily camp life—handling registration, agreements, health tracking, hiring, and empowering overall camp management. With our camp software, you can easily create forms to support camper safety and staff coordination to streamline daily operations. Our secure online forms help automate tasks, reduce paper waste, and provide teams with quick access to vital information about campers and staff. A straight-forward, mobile-friendly design makes our form collection process shorter and easier to navigate.
Review the layout and flow of forms as you design with a convenient preview tool. Field types include simple display text, typed text, automated date/time capture, attestation checkboxes, single or multiple answer selections, dropdowns, profile fields for camper and household views, & more!
Standard form fields are used to collect key details that will be used in essential workflows throughout the software, such as household or individual camper profile data such as photos or emergency contacts, and even to collect vital health data like required health information, conditions, allergies, and medications.
Create custom profile fields that can be displayed within camper or household profiles once collected via camp registration forms. Use custom fields in any form. These fields will only appear in the specific form they are added to and the answers will be accessible by viewing or printing the camp form data.
Do you need to know a camper’s favorite color or what they want to be when they grow up? Are you interested in their experience with certain topics or activities? Do you need different information to support different camp experiences?
One form does not fit all registrations. It wouldn’t make sense to ask about rock climbing experience for a camp aimed at five- and six-year-olds. However, a camp designed for ages 12+ may want to adapt the facility or equipment to their campers’ past experiences. That’s why it’s essential for camps to design their own camp registration forms and tailor which forms are collected for which camp events.
Our camp software allows camp teams to associate several forms with a camp season, and then tailor which ones are ultimately used during registration for different camp events; enabling camps to ask all the right questions, at the right time, and about the right campers.
Manage camp forms efficiently and reduce form fatigue for camp families registering the same camper across multiple camps. By attaching the same form to several camps, guardians will have the option to fill out form details once, with information automatically carrying over into their next submission. Updates can be made as needed, enhancing the overall user experience. Design and release new versions of forms as needed with minimum form version settings.
Using specialized camp software with built-in customizable forms, instead of a generic form tool, ensures that data is stored, protected, and accessible in a way that adds value to the camp experience. For example, medication details from health forms can be automatically shown in a medication administration view, allowing authorized staff to quickly see dosages and mark medications as given. This improves the value of the collected information and adds efficiency.
Camps have unique needs, so camp registration software must be flexible. Not every camp has the same questions, requirements, or processes—which makes robust form features an essential tool for smooth camp operations. From building forms through form submission – our approach to forms helps your camp ask all the right questions and collect accurate information the first time, with easy views and follow-up actions for campers who may be late in turning them in.
Registration forms can help you learn about campers, their family situations, past experiences, goals, preferences, and other items that could influence the success of their experience. Once forms are submitted, details can be viewed from an individual’s camp registration history and in camp reports. For privacy, certain fields can be set to not appear on exported or printed form reports.
Camp health forms are used to capture essential details like emergency contacts, physicians, insurance, medical conditions, medications, and more. To simplify data entry, libraries of standard answers are provided for camper medication (with over 800 built-in options), symptoms, and areas of the body to assist camp health staff with consistently documenting illnesses and injuries at camp.
Camps can create an unlimited number of forms for agreements or waivers using our camp form tools and attach them to specific camp events to collect during registration. Add text, attestation checkboxes, and auto-filled date/time stamps for easy online collection in the Registration Portal. Camp families can view these forms for all current and future registrations anytime.
Forms are integrated into iCampPro’s staff hiring tools to allow camps to create custom workflows for posted job applications, emailed automated reference questionnaires, and for designing interview forms so interviewers can consistently evaluate candidates and take notes. This allows camp team members to collaborate and fairly evaluate candidates for open roles with more efficiency.
Summer camp forms can go beyond registration. They can also simplify your annual hiring processes helping you fill staff rosters faster than ever before! With our flexible form builder options, you can find the right staff to achieve your camp’s goals and mission.
The variety of fields offered by our custom form builder makes it easy to translate your existing camp forms from other software or paper format into a straightforward online form used by iCampPro! The simple, mobile-friendly format of our forms ensures that families, job applicants, and staff can view, interact with, and submit them from any device. Our checkout process uses a secure payment gateway form that collects, transmits, and stores payment information using PCI compliant standards; this form offers some customization, including branding colors and a camp logo.
At this time, iCampPro does not offer online document uploads and storage for families or job applicants. However, if your team finds the need to collect certain health-related forms in person, your staff can attach photos and documents to health visit records inside of the Admin Portal.
Your team can create as many forms as needed to collect information for different programs and camps! Multiple forms can be requested for each camp registration, to give camps maximum flexibility. However, to avoid form fatigue, we would caution camps to avoid requesting too many forms with repeat or invasive camper details that are non-essential.
We would caution camps against attempting to collect sensitive personally identifying information such as social security numbers via camp forms, as the answers are not masked for privacy.
Because payment details are collected and stored via a secure payment gateway form/platform, very limited payment details are actually reflected inside of the software (such as the last four digits of the payment method).
Camp families may view requested and completed camp registration forms by logging into the Registration Portal. Similarly, job applicants may use the Staff Portal to access live applications, fill out their information, and review the status of their completed application online.
